The ideal candidate will be in charge of the organization and efficiency of daily office operations. From scheduling client meetings, to communicating between departments, you will be responsible for completing multi-level tasks in a professional and timely manner.

Responsibilities

  • Manage the reception area and staff to ensure effective communication both internally and externally
  • Provide office guests with a hospitable experience
  • Supervise the maintenance of office areas, equipment, and facilities
  • Interact with IT, phone and building personnel as needed.
  • Correspondence Management: Answer incoming calls, redirect inquiries, or take accurate messages. Handle daily correspondence promptly.

•    Personal Assistant Support: Provide secretarial support to the Managers, including arranging meetings, conference calls, and travel logistics.

•    Travel Arrangements: Organize flights, hotels, and transportation for the Managers’ business trips, ensuring smooth and efficient travel experiences.

•    Courier Arrangements: Organize the timely delivery of documents and parcels.

•    Office Administration: Manage photocopying, scanning, and filing tasks and processing documents. Handle receipts and expense records.

•    Supply Management: Monitor office supplies, order stationary and groceries as needed.

•    Office Operations: Ensure the smooth running of the office, maintaining efficient day-to-day operations.

  • Team Collaboration: Maintain excellent communication with all departments, supporting collaborative efforts across the firm.

Qualifications

  • Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
  • Excellent written and verbal communication skills
  • Ability to multi-task, organize, and prioritize work
