Full time Administration - Clerical Secretarial Customer Service

Job Description

Nordic Finance is seeking to recruit a full-time Receptionist to join their team.

The ideal candidate should have an excellent command of spoken/written English and Greek. Other required traits and skills are a friendly, positive and professional manner, good interpersonal skills and basic working knowledge of computer and e-mail systems, World and Excel, accuracy and a good sense of order. Our office is small and all staff needs to be ready to assist with various tasks when needed.

Working hours are Monday to Thursday from 9:00 a.m. to 5:00 p.m. and Friday from 9:00 a.m. to 3:00 p.m., with 22 days of annual leave. Twelve months salary will be paid according to agreement, with a six-month probation employment period.

Key responsibilities:

  • Collecting mail at the post office every morning.
  • Collecting and submitting documents that concern the authorities.
  • Preparing HE forms and ordering certificates from the Registrar of Companies’ website.
  • Sending documents to be certified.
  • Opening, sorting and distributing incoming mail.
  • Preparing envelopes for outgoing post.
  • Handling courier services.
  • Coordinating drinking water supply.
  • Calling and coordinating with messenger when needed.
  • Answering the telephone, forwarding calls and taking messages.
  • Greeting and directing visitors as well as serving refreshments to guests and directors when required.
  • Assisting with other related duties such as scanning, photocopying, faxing, filling and archiving.
  • Being responsible for the general tidiness of the kitchen and office.
  • Working with the Client Account Managers, providing secretarial support on a daily basis.
  • Maintaining and keeping up to date all the secretarial files of the legal entities.
  • Taking inventory once a month of office supplies and ensuring that the required items are replenished.

Experience, skills and requirements:

  • At least 1 year work experience in a similar position.
  • Computer Literate (World, Excel, Ms Office application, etc).
  • Experience with various office equipment such as copy machines, multi-line phones, fax machines, etc.
  • Excellent verbal communication skills in Greek and English.
  • Strong personality, responsible, attentive to details, accurate, positive and supportive.
  • Friendly and enthusiastic telephone manner.
  • Ability to multitask and prioritise daily workload.
  • Driver license and car (parking will be provided by the Company).
